Once your email is integrated, you are able to send, receive, and create emails directly within GRIN without ever having to log in to your email account. This integration pulls in historic email interactions specifically with influencers you have set as contacts within GRIN.
Review each tab of Mail to learn how to organize and manage your influencer outreach and ongoing collaborations:
In the first tab of Mail or the Dashboard, you will first notice the Daily Sending chart which is an overview of sending history in the GRIN platform. The grey box (left) is the number of emails that were scheduled to be sent and the blue box (right) represents the number of emails that were actually sent.
You may notice that the scheduled emails and the sent emails may fall on separate days which indicates your account has a max sending limit or a max limit of emails that can be sent out in one day. This limit is in place to prevent emails from being marked as spam, however, the daily sending limit may be changed within your Account Settings.
Below the Daily Sending graph, is Outstanding Emails or a list of all the emails that are pending to be sent out to your influencers. Outstanding emails can be any scheduled sequence planning to be sent or any written response being sent to your influencers. Emails in GRIN are sent out in a queue system and are sent out one after another rather than all at once.
However, emails can be immediately sent by clicking the Send icon next to the email. This feature also allows you to delete an email quickly before it's sent.
An invalid alert will appear if one of your contacts' emails are invalid. The invalid email will not be deleted, however, it will simply be rescheduled to send 48 hours in the future, giving you time to update the email contact information.
Within the next box Recently Sent you are able to view the recently sent emails by clicking the Mail icon next to the email notification.
Inbox, All Mail and Sent
Communication is managed within your Inbox, All Mail, and Sent pages. Each page has a different view of mail, be it incoming mail, sent mail, or combined, but each has the options to reply, archive, or have a quick view of the Influencer's profile.
Keep in mind that we only pull in emails from influencers who exist within your "Contacts". If you notice that an email has not pulled in make sure that the influencer is in your "Contacts" and that the email address matches what is in the influencer's profile, in GRIN.
Step 1 Click on Mail and select Inbox, All Mail or Sent.
Step 2 Apply Filters by clicking the Filters button on the top right.
You can use different filters within Mail to search for certain contacts in your mailbox. You can use filters such as tags, campaigns, relationship stages, etc... This makes it easy to find a specific influencer or a group of influencers within your GRIN inbox.
Step 3 Select an email and send a Reply.
You can use templates to reply to influencers easily and efficiently. Select a pre-made template to reply to your influencers. Click the Signature field to include your pre-made signature.
Step 4 View and manage your Influencer's Profile.
A quick view of an influencer's profile appears to the right once their email is clicked.
Within this view, you are able to change the influencer's contact status (Prospect or Influencer), access an influencer's Live URL and copy it into emails, view an influencer's contact information and edit if needed, add or remove tags, etc.
While emailing a lot of different influencers, it can be helpful to remind yourself of what content a certain influencer is posting while you are communicating with them. This feature allows you to view their feed when you are in the inbox section of GRIN.
Templates save time and remove the hassle of having to compose a new email for standard responses within your management workflow. Create templates for initial outreach, declined or accepted campaign applications, or simple congratulations for your influencers' first collaboration post. Templates can be sent in mass but individualized through the use of inserting variables.
Sequences automatically send follow-ups, acceptance, declined, etc. emails that are uniquely created using templates or manually written. Influencers added to a sequence will continue to receive sequenced emails until they take a specific action or the chain ends. Setting up a sequence is perfect when outreaching to a large number of influencers.
